After years of development and testing, the Circuit Court Clerk’s office officially debuted its new e-filing system on July 22, 2019. The system initially launched in the Circuit and Probate offices and has automated many functions within each office. The offices have processed over 77,000 filings electronically and saved large quantities of paper in the process.
“We are always looking for ways to use technology to enhance our customer service and this is a great tool that is available 24 hours a day, 7 days a week,” said Circuit Court Clerk Richard Rooker. “The first phase was a great success and we are now working to launch e-filing in General Sessions-Civil and eventually similar systems will launch in the Criminal and Juvenile Court Clerk’s offices.”
The e-filing project was a part of a PIP collaboration initiated a few years ago between the Courts. “Instead of creating separate systems, a single vendor was utilized to produce the system,” said Mayor John Cooper. “This project is a great example of how Metro Departments can work together to enhance the services and offerings to the city. The system allows attorneys, litigants and other Metro agencies to file new cases and subsequent filings in each court by utilizing the same user accounts across all courts.”
The software was purchased rather than hosted—which eliminates the need to charge a fee per filing or an annual fee for users. The only addition is a convenience fee of 2.25% if payment is made by credit card or e-check. Escrow accounts are available to assist in paying for filings without incurring this fee in the Circuit offices.
